Capacity

Managing available seats

Managing a maximum number of available seats means deciding in advance how registration behaves as capacity approaches: it is a rule defined during the project, based on the venue, format and guest categories.

As this is a system developed bespoke in Cantù, we discuss it with you case by case, for events in Como, Brianza or Milan.

How to think about it

Factors to consider

  • the real capacity of the spaces and of each area;
  • the seats to reserve for VIP, press, clients and staff;
  • what to tell people who register once seats are sold out;
  • how attendance is updated in real time on the day of the event.

Guest categories, each with its own rules, help keep each group's seats separate, including for events with guests between Milan and Lugano.

The waiting list helps you not to lose people interested in sold-out places, but rules and communications depend on the event format. We define them together with our Cantù team, in the province of Como, for events in Como, Brianza or Milan, without useless standard features.

Changing or cancelling a registration is a rule to agree together, because it affects capacity, communications, passes and attendance. Discuss it with the Cantù team, who develop the system as a bespoke solution for companies in Como, Brianza and Milan.

For multi-session registration you set up the guest's journey based on the programme, areas and categories, which can have dedicated access. We define it with you during the project, from our Cantù office, for events between Como, Milan and Lugano.

Invitations, registrations and attendance stay aligned because the system is synchronised with the website and the private area: every registration and every scan at the entrance updates the same archive, in real time. We build it in Cantù, in the province of Como, for events between Milan and Lugano.

To personalise the invitation you start from the guest list: each recipient gets their own link and a message consistent with their category, with the event's graphics. NewVisibility develops this flow in Cantù for events of companies in Como, Brianza, Milan and Lugano.
